Administrative and Family Support Assistant

Millspaugh Camerato Funeral home in Catskill needs a part-time Administrative and Family Support Assistant.

Monday – Friday | 9:00 AM – 2:00 PM | Additional hours, as needed

Education Requirements:

  • High school diploma or equivalent
  • Proven work experience in full range of Administrative duties and Family Support

  • Possession of a valid license to operate a motor vehicle in New York State

Physical Requirements:

  • Sitting at a desk and working on a computer for prolonged periods
  • Must be able to easily walk the full area of the interior and exterior of the funeral home and surrounding property to check all areas for best conditions and identify and take of any needs for maintenance of upkeep.
  • Standing to greet visitors, sometimes for an hour or two at a time.
  • Lifting items up to 15 pounds at times

Day-to-Day Duties

Technical:

·     Answering and transferring phone calls, appropriately forwarding messages and following up on inquiries

·     Handling and responding to incoming correspondence, as directed, such emails, faxes and mail that requires a high level of discretion

·     Scheduling appointments and maintaining office calendars

·     Tracking office inventory, including ordering supplies, coordinating deliveries and monitoring the shipping and arrival of vendor deliveries Using computers, printers, fax machines, scanners and other common office equipment

·     Completing office tasks using MS Word and MS Publisher

·     Creating and maintaining computer-and paper-based filing and organization systems for records, reports and documents.

·     Updating and maintaining information on the funeral home’s databases and computer systems

·     Assisting to keep the funeral home neat and clean, including light vacuuming, wiping down surfaces, restocking supplies in the bathroom, and taking out the trash

·     Driving to area town offices to pick up death certificates, the post office for parcels, and other tasks as directed

·     Acting as point of contact for houses of worship, cemeteries and crematoriums, florists, other vendors, etc.

·     Maintaining constant communications with funeral directors and other staff

Human:

·     Demonstrating proper etiquette, sensitivity and respect in the presence of decedents and the handling of cremated remains

·     Greeting families and other visitors during visitations (calling hours) and at funerals

·     Supporting grieving and bereaved families and other visitors with professionalism, compassion, and empathy

Conceptual:

·     Processing information, following instructions, and completing tasks with minimal supervision
